The Hotel Booking plugin has options to let the guests cancel the reservation by following the link in the email notification before a check-in date. Follow the steps below to set this up or check if it is configured correctly on your site.
1. Enable the option of cancellation
Go to Accommodation > Settings and find the option 'User can cancel booking via link provided inside email.'
2. Create and Select the Booking Cancellation page
You need to create a Booking Cancellation page with a shortcode [mphb_booking_cancellation]. The shortcode will render the block of information of the Booking and button to confirm the cancellation after the guest follows the link.
Once it is created you need to select this page as Booking Cancellation at Accommodation > Settings.
3. Create and select the Booking Cancelled page
Once the guest clicks the button to Cancel the Reservation on the Booking Cancellation page, he will be redirected to the Booking Canceled page where he should be notified that the reservation is canceled. You can add any custom text here on this page.
4. Check the email template of the Booking Cancellation
To make sure the guest will receive the link to cancel the reservation, navigate to Accommodation > Settings > Custom Emails and scroll down to the bottom to the Cancellation Details Template.
Make sure you added the tag of this template %cancellation_details% to the Approved Booking email template.
Done, now your guests can cancel the reservations. Once the booking is canceled the dates are free and can be booked by other guests. The flow is like this:
- guest makes a reservation and it is approved
- guest receives an email notification about approved booking and three is a cancellation link
- guest can follow the cancellation link in the message anytime before the check-in date
- guest is redirected to the Booking Cancellation page where he can see the details of the booking and the button to Cancel it.
- guest clicks the button and is redirected to the Booking Canceled page. The booking is canceled.
Note: if you enabled confirmation upon payment, the refunds are not submitted upon booking cancellation. You need to submit a refund manually according to your booking cancellation policy.
